Privacy Policy
Private Hive ("we," "us"), a Vantum company, builds, hosts, and manages private AI workspaces for organizations. Privacy isn't a policy bolted onto our product — it is the product. This page explains what we collect, what we deliberately don't, and how your organization's data is handled.
The architecture is the privacy policy
Every customer organization runs on its own dedicated server, with its own database, storage, and encryption keys. Your workspace content — messages, files, documents, agent conversations — lives on that server and nowhere else. We do not pool customer data, and there is no shared workspace infrastructure between customers.
What we collect
- Account and billing information — the contact details, organization name, and billing records needed to run your subscription.
- Operational metadata — server health, uptime, resource usage, and error logs from your instance, used to operate, monitor, and support the service. This is telemetry about the machine, not the content of your workspace.
- Website inquiries — if you book a call, scheduling is handled by Cal.com under their privacy policy. Our website itself sets no advertising trackers.
What we don't do
- We do not sell your data. To anyone. Ever.
- We do not read your workspace content in the ordinary course of operations. Support access to your instance happens for maintenance and troubleshooting, and your workspace content is accessed only when necessary to resolve an issue you've raised.
- We do not train AI models on your data. Your agents run on your organization's own AI accounts (such as Claude or ChatGPT); prompts and responses flow between your server and your AI provider under your agreement with that provider — never through Private Hive systems.
Backups and retention
Your instance is backed up automatically (nightly database backups retained on your server, plus provider-level server backups) so your workspace can be restored after a failure. When a subscription ends, we return or delete your data: you can request a full export, and instance data is destroyed within 30 days of termination.
Subprocessors
We use a small set of infrastructure providers to deliver the service: Hetzner (dedicated servers, EU by default), Vercel (this website and DNS), and Cal.com (call scheduling). Your AI provider (e.g., Anthropic or OpenAI) is your own vendor, under your own agreement.
Your rights
You can request access to, correction of, or deletion of the account information we hold about you at any time. For workspace content, your organization's owner controls the data — it's on your server.
